Kwotix is software that hotels, villas and homestays (“properties”) use to send quotes, bill guests' food and issue GST invoices. This page says what personal data we handle, why, and what you can ask of us.
Two kinds of data, two roles
- Your account — your name, email address and password (stored only as a one-way hash), and the properties you belong to. For this, we decide how the data is used and are responsible for it.
- Your guests — the names, phone numbers, room numbers, stay details and food orders that a property enters. The property decides why these are collected and is responsible for them to its guests. We hold and process them only to provide Kwotix to that property, and never use them for anything else.
What we use data for
- To run the service: signing you in, keeping each property's data, producing quotes, PDFs and invoices.
- To send emails you need: confirming your address, resetting a password, and, on the Quote + Menu plan, the daily food report.
- To keep it secure and working: limiting repeated sign-in attempts, and logs of errors and of who changed what.
We do not sell personal data, show advertising, or use guests' data to train any model.
Who else handles it
We use service providers, each handling data only on our instructions: Render hosts the app; Supabase holds the database and files, in Mumbai; Google (Gmail) delivers our emails; Razorpay takes plan payments and holds the payment details, which never reach us. When a property imports a menu from a photo or PDF, that file is sent to Anthropic, whose AI model reads the dishes and prices; menus are the only thing sent, and the uploaded file is deleted 90 days later.
Cookies
One cookie, which keeps you signed in. Your phone also keeps a copy of some screens so the app opens quickly. No tracking or advertising cookies.
How long we keep it
As long as the property uses Kwotix. Invoices may need to be kept for the period tax law requires. When a property leaves, we delete its data on request, apart from what the law requires us to keep.
Your rights
You can ask to see the personal data we hold about you, to correct or complete it, or to erase it, and you can withdraw consent you have given. If you are a guest, please ask the property first, since it decides how your data is used; we will help it answer you. Write to help.kwotix@gmail.com. If you are not satisfied with our answer, you may complain to the Data Protection Board of India.
Children
Kwotix accounts are for adults running a property. We do not knowingly create accounts for anyone under 18.
Changes
If we change this page in a way that matters, we will tell account holders by email before the change applies.
